Privacy policy
Last updated 14 October 2026
Alio! Brand Studio (ABN 56 106 978 704) is a sole trader business in Austral NSW. This policy covers the personal information we collect through this website, when we look for businesses we could help, when we work for clients, and in the Alio! client portal. Questions go to caelan@aliobrandstudio.com.
The short version
- We collect business contact details, mostly ones businesses publish themselves, and whatever you send us.
- We use them to reply to you, to offer our services to businesses we think we can help, and to do client work.
- We never sell personal information, buy contact lists or guess email addresses.
- Tell us to stop and we won't contact you again.
- You can ask what we hold about you, and have it fixed or deleted.
What we collect, and where from
When you contact us
- The audit form on this site: your name, business name and email, and your website if you add it. Netlify, which hosts the site, receives the form and emails it to us.
- Email, phone, text, Facebook or Instagram: what you send us and the details you contact us from.
- Audit videos: we record them with Loom. They show what's public about your business on Google and your website.
When we're looking for businesses to help
We use our own tool, Alio! Prospector, to find local businesses and check how they show up on Google. It collects business information. Some of it is personal information, for example when it names an owner or is a sole trader's own mobile number.
- Google Maps listings, through a data provider called DataForSEO: business name, address, phone number, website, category, rating and number of reviews.
- The business's own website: email addresses and phone numbers published there, with the page they were on and the words around them, so we can show where an address came from. Our tool reads no more than 5 pages of a site and follows the site's robots.txt rules.
- Public registers: the Australian Business Register (ABN Lookup), NSW licence records and Ahpra's register of health practitioners. These can include an owner's or practitioner's name.
- Website checks: Google PageSpeed results and a screenshot of the website on a phone.
- Our own notes: calls, visits and emails, what happened, and when to follow up.
- The Do Not Call Register: whether a mobile number is on it.
We don't buy contact lists, look at personal social media profiles, or guess email addresses.
When you're a client
- Names, emails and phone numbers of the people we deal with, billing details and your ABN.
- Access to your accounts as a manager or user. We never ask for your passwords.
- What you send us: logos, photos, text and details about your business.
- Personal information that's part of the work, such as enquiries from your website's form, your reviews and your staff's names.
- Your monthly numbers from Google Business Profile, Google Analytics, Search Console and Google Ads.
- Contracts, and the record of who accepted them: name, login, time, internet address and browser.
We don't handle patient information for health clients. The client portal has its own page with more detail about signing in and Connect with Google.
When you visit this website
- Netlify keeps standard server logs (internet address, browser, pages and time) to keep the site secure.
- The fonts are served from this website, so your browser doesn't contact Google to load them.
- If you say yes to the cookie notice, this website uses Google Analytics (to count visits and see which pages people read). They set cookies in your browser and send Google your internet address, your device and browser details, and the pages you view.
- If you say no, none of them load and they set no cookies. You can change your mind at any time with "Cookie settings" in the footer.
Why we use it
- To reply to you and send what you asked for, such as your audit.
- To offer our services to businesses we think we can help, by email, phone or a visit.
- To do client work, send invoices and keep records.
- To keep our systems secure and meet our legal obligations, such as keeping tax records.
- To see what's working, such as which kinds of business reply.
We don't use it for anything else unless you agree or the law allows it.
How we contact businesses, and how to say no
- We only email addresses a business has published, and only about our services. Every email says who it's from and how to opt out.
- We only call inside NSW telemarketing hours (weekdays 9 am to 8 pm, Saturdays 9 am to 5 pm, never on Sundays or national public holidays), and we check mobile numbers against the Do Not Call Register first.
- To stop hearing from us, reply "stop", tell us on the phone, or email caelan@aliobrandstudio.com. We mark your business "do not contact" straight away and keep that note so it stays that way.
AI and automated tools
- Prospector scores businesses on how much we could help them and how easy they are to reach, so we know who to contact first. The scores are about businesses. They don't make decisions that significantly affect you, and a person decides who to contact.
- We use Claude, made by Anthropic, to help draft emails. It gets the business details the draft needs. We're also starting to use Jev, from TypeSafe AI, to sort replies, for example to spot someone asking not to be contacted.
- A person reads every draft before it's sent. Nothing is sent automatically.
Who we share it with
We don't sell personal information. We only share it with the service providers below, people who help us with client work (who must keep it confidential), our accountant, lawyer and insurer, and government agencies when the law requires it.

|---|---|
| Supabase | The database behind Prospector and the client portal, in Sydney |

| DataForSEO | Google Maps results for Prospector |
| Anthropic | Claude, for drafting emails |

Information that goes overseas
Supabase and Zoho keep information in Australia. Most of the other providers above store it overseas, mainly in the United States. We choose providers with strong security and privacy terms, but the law where they are may not protect your information the way Australian law does.
Keeping it safe
Only people who need information can get to it, and the client portal and Prospector only show each person what they're allowed to see. No system is perfectly secure. If a data breach is likely to cause you serious harm, we'll tell you and the Office of the Australian Information Commissioner.
How long we keep it
| Enquiries that don't turn into work | 18 months after we last spoke, then deleted |
|---|---|
| Businesses in Prospector | 18 months after we were last in touch with them, then deleted |
| Requests not to be contacted | For as long as we're in business, so you don't hear from us again. We keep only the business name, the contact detail and the date |
| Clients | While you're a client and for 7 years after, for tax and contract records |
Seeing, fixing or deleting your information
Email caelan@aliobrandstudio.com to ask what we hold about you, or to have it corrected or deleted. It's free, and we'll reply within 30 days. We may need to check who you are first. If we can't do what you ask, for example because the law says we have to keep a record, we'll tell you why.
Complaints
If you're unhappy with how we've handled your information, email us and say what happened. We'll look into it and reply within 30 days. If you're still not happy, you can complain to the Office of the Australian Information Commissioner on 1300 363 992.
Staying anonymous
You can ask us a general question without giving your name. To send you an audit or work for you, we need to know who you are.
Changes to this policy
When we change this policy, we'll update the date at the top. If a change matters to clients, we'll email them about it.
